View Certificates for Accredited Veterinarian (AV), AV Support and Exporter Users

All certificates have a status.  For a list of valid statuses for VEHCS certificates, see Statuses.

To select certificates to view, complete the following steps:

1.Select the View Certificates link at the left side of the screen.
RESULT:  The View Certificates page appears and allows you to search for a certificate to view or manage.
2.Enter the following search criteria to view a list of certificates:
a)Select the certificate status from the Status drop-down list; select “All” to find all statuses.
b)Enter a Date range.
NOTE:  The default date range is set to the previous 14 days.
c)Select the Date type: Create Date, Submitted Date, Submitted to AV or Endorsed Date.
d)Select Destination Country.
e)Select Consignor Name.

   NOTE: This is optional search criteria. Wildcards can be used.

f)Select Exporter Name.

   NOTE: This is optional search criteria. Wildcards can be used.

 

3.To search for a specific certificate, enter the certificate's Tracking Number or Certificate Number.

 

4. Click the Search button.

   RESULT:  The certificates meeting the search criteria display in the List of Certificates table.

   NOTE:  The message “No certificates match the search criteria.” will display if no certificates are found.

 

   The table displays the following information:

 

   1. Tracking/Certificate Number:  The tracking and certificate number assigned to the particular certificate.

   2. Status:  The status of the certificate.

   3. Est. Date of Shipment:  The estimated date when the shipment will depart.

   4. Endorsed Date:  The date the certificate was endorsed.

   5. Species:  The type of species specified in the certificate.

   6. Destination Country:  Displays the country where the commodity is being shipped to.

      NOTE:  You can click the Show All button to expand the report list or click the Collapse button to shorten the list.

 

 

AVs, AV Support and Exporters can manage a certificate based on its statuses.

1. Completed:  View or Manage. View will display the Certificate Details, and Manage will allow the certificate copy in PDF format to be generated.

2. Returned:  View/Edit or view Comments. View/Edit will allow the certificate to be updated and resubmitted.  The Comments button will display the comments from the VS Field Office regarding why the certificate was returned.

NOTE: Returned certificates can be deleted by first accessing the certificate with the View/Edit button, then click the Delete button from within the certificate edit               screens.

3. Work in Progress:  View/Edit or Delete.  View/Edit will allow the certificate to be updated and submitted.  Delete will allow you to remove the certificate from VEHCS.

4. Endorsement in Progress, Reviewed, Review in Progress, Submitted or Void:  View. View will display the Certificate Details

 

The List of Certificate buttons.

1. To view/edit the certificate, click the corresponding View/Edit button.

   RESULT:  The Certificate Content page appears.  Follow the Certificate Step by Step procedures to update a certificate.  Refer to the Create Certificate topic for further details.

2. To view the certificate, click the corresponding View button.

   RESULT:  The View Certificate Details page appears in read-only form.  Refer to the View Certificate Details Page Overview topic for further details.

   Click the Back button to return to the View Certificates page.

3. To recall the certificate, click the corresponding Recall button.

   RESULT: View Certificates page refreshes and displays a message that The certificate has been successfully recalled.

4. To delete a certificate, click the corresponding Delete button.

   RESULT:  The Confirmation page appears.

   Click Yes to confirm deletion or No to cancel the deletion.

   RESULT: The View Certificate page appears.    

5. To manage a certificate, click the corresponding Manage button.

   RESULT:  The Manage Certificate page appears.  Refer to the Manage Certificate Page Overview topic for further details.

6. To view comments associate with a returned certificate click the corresponding Comments button.

   RESULT: The View Comments page appears with the comments displayed.

   Click the Back button to return to the View Certificates page.

 

View Certificates for USDA Users

All certificates have a status.  For a list of valid statuses for VEHCS certificates, see Statuses.

To select certificates to view, complete the following steps:

1.Select the View Certificates link at the left side of the screen.
RESULT:  The View Certificates page appears and allows you to search for a certificate to view or manage.
2.Enter the following search criteria to view a list of certificates:
a)Select the endorsing office.
NOTE:  By default all offices associated with the user are selected.
b)Select the certificate status from the Status drop-down list; select “All” to find all statuses.
c)Enter a Date range.
NOTE:  The default date range is set to the previous 14 days

 

d)Select the Date type: Endorse Date, Complete Date or Submit Date.

 

e) Select the Destination Country.

 

f) Select Species.
   NOTE:  By default all species are selected.

 

g) Select Intended Use.
   NOTE:  By default all Intended Uses are selected.

 

h) Select Accredited Veterinarian Organization.
   NOTE:  This is optional search criteria. Wildcards can be used.

 

i) Select Accredited Veterinarian Name.
   NOTE:  This is optional search criteria. Wildcards can be used.

 

j) Select Consignor Name.

   NOTE: This is optional search criteria. Wildcards can be used.

 

k) Select Exporter Name.

   NOTE: This is optional search criteria. Wildcards can be used.

 

3.To search for a specific certificate, enter the certificate's Tracking Number or Certificate Number.

 

4. Click the Search button.

   RESULT:  The certificates meeting the search criteria display in the List of Certificates table.

   NOTE:  The message “No certificates match the search criteria.” will display if no certificates are found.

 

For users that work in multiple states, the List of Certificates table sorts the certificates by state.  The table displays the following information:

 

   1. Tracking/Certificate Number:  The tracking and certificate number assigned to the particular certificate.

   2. Status:  The status of the certificate.

   3. Endorsing Official:  The VMO that endorsed the certificate.

   4. Endorsed Date:  The date the certificate was endorsed.

   5. Commodity:  The species and intended use specified in the certificate.

   6. Destination Country:  Displays the country where the commodity is being shipped to.

     

 Depending on the certificate’s type and status, users can view certificate data, edit certificate data, view comments and manage certificate data.

 

    1. Completed VEHCS-Defined, Universal and Internal Uploaded HCs:  View or Manage. View will display the Certificate Details and Manage will allow a certificate to be viewed/printed or voided, and the fee charged to be updated.

    2. Completed AV Uploaded HC: View/Edit or Manage. View/Edit will display the Certificate Details with an option to edit the data. Manage will allow an uploaded PDF to be viewed/printed or voided, the fee charged to be updated and for specifically authorized users can replace the HC PDF.

    3. Returned VEHCS-Defined, Universal and Internal Uploaded HCs:  View or view Comments. View will display the Certificate Details and Comments will display the reason the certificate was returned.

    4. Returned AV Uploaded HC: View/Edit or view Comments. View/Edit will display the Certificate Details with an option to edit the data. Comments will display the reason the certificate was returned.

    5. Voided HCs, all types: View or Manage. View will display the certificate details and Manage will allow a certificate to be printed and the fee charged to be updated.

 

 

Using the List of Certificate buttons.

 

1. To view the certificate, click the corresponding View button.

   RESULT:  The View Certificate Details page appears in read-only form with any Review Notes entered displayed.  Refer to the View Certificate Details Page Overview topic for further details.

   Click the Back button to return to the View Certificates page

2. To manage a certificate, click the corresponding Manage button.

   RESULT:  The Manage Certificate page appears.  Refer to the Manage Certificate Page Overview topic for further details.

   Click the Cancel button to return to the View Certificates page.

3. To view comments associated with a returned certificate click the corresponding Comments button.

   RESULT:  The View Comments page appears with the comments displayed.

   Click the Back button to return to the View Certificates page.
