Manage Applications

All applications/certificates have a status.  For a list of valid statuses for PCIT applications/certificates, see Statuses.

 

For Internal (e.g., ACO, ACO Support, ECS…) Users:

 

To access applications/certificates, complete the following steps.

1.Select the Manage Applications link from the menu at the left side of the screen.
RESULT: The Manage Applications page appears and allows you to search for a certificate to view or manage.

  NOTE: Internal users can search based on their associated Duty Stations or by known Tracking number..

2.Select/enter search criteria:

Duty Station, Application status and Date Range

Or

Tracking/Certificate Number

3. Click Search.

RESULT:  Application/Certificates meeting the search criteria are displayed in the List of Applications table.  The table display the following columns:

a)Tracking/Certificate Number:  The tracking and certificate number assigned to the particular application. Work in progress and Canceled applications will only list a tracking number.
b)Status:  The status of the application/certificate.
c)Submit/Issued Date: The date the application was submitted, or for completed certificates, the date issued by the ACO.
d)Shipment Date: The date the commodities is to be shipped.
e)Destination:  The country to which the commodities will be sent.
f)ePhyto Sent: The status of ePhyto.
g)ePhyto Received: The status of ePhyto.

NOTE:  If no application/certificates are found, the message “No applications match the search criteria.” displays.

 

From the resulting list, you may choose to view a completed application by clicking its View button.  You can edit a work in progress or returned application by clicking its View/Edit button.  You can delete a work in progress or returned application by clicking its Delete button.  You can manage a processed application/certificate by clicking its Manage button.

 

The View, View/Edit, Manage and Delete buttons return the following screens:

1.Click the View button.
RESULT:  The Processed Application Details page appears.
2.Click the View/Edit button.
RESULT:  The Application for a Certificate/Application Step by Step/Select your Certificate Type page appears.
3.Click the Delete button.
RESULT:  The Delete Confirmation page appears.
4.Click the Manage button.
RESULT:  The Manage Certificate page appears with a dropdown of processing options based on the certificate’s status.
a)Generate Copy (for Issued, Printed, Issued-Pending, Void, and Replaced certificates)
b)Generate Excel (for Cancelled, Issued-Pending, Issued, Printed, Void, and Replaced certificates)
c)Print (For Issued certificates)
d)Replace (for Issued and Printed certificates)
e)Update Certificate Fee (for Issued, Printed, Void, and Replaced certificates for Federal or States or Counties collecting fees in PCIT)
f)Void (for Issued and Printed certificates)
g)Split (for Issued and Printed certificates that do not multiple quantities for a commodity)
h)Reuse (for Issued, Printed, and Issued-Pending certificates)
i)Edit Replacement Request (for Replace-Pending certificates)
j)Cancel Replacement Request (for Replace-Pending certificates)

 

NOTE: ACO/ACO Admins can adjust fees associated with outside certificates.  See Update Certificate Fee for details.

 

For Applicant and AE Applicant Users:

 

To access applications/certificates associated with your organization, update applications that are returned to you, recall submitted applications that have not been opened for processing, and delete applications that are no longer necessary complete the following steps:

 

1. Select the Manage Application link at the left of the screen.
RESULT:  The Manage Applications page appears showing all application statuses for the past 30 days.

NOTE: External users can only search for applications/certificates they are an applicant for.

 

2. To perform a new search, click the Clear button then select/enter search criteria:

Application status and Date Range

Or

Tracking/Certificate Number

 

3. Click Search.

RESULT:  The applications meeting the search criteria display.
NOTE:  The message “No applications match the search criteria.” will display instead of the list if no applications are found.

 

4. The applications associated with the entered search criteria are displayed with the following information:

Tracking/Certificate Number:  The tracking and certificate number assigned to the particular application. Work in progress and Canceled applications will only list a tracking number.
Status:  The status of the application/certificate.
Submit/Issued Date:  The date the application was submitted, or for completed certificates, the date issued by the ACO.
Shipment Date: The date the commodities is to be shipped.
Destination:  The country to which the commodities will be sent.
ePhyto Sent: The status of ePhyto.
ePhyto Received: The status of ePhyto.

NOTE:  If no application/certificates are found, the message “No applications match the search criteria.” displays.

 

From the resulting list, you may choose to view a completed application by clicking its View button.  You can edit a work in progress or returned application by clicking its View/Edit button.  You can delete a work in progress or returned application by clicking its Delete button.  You can view comments for a cancelled or returned application by clicking its Comments button.  You can recall a submitted application that has not been opened for processing by clicking its Recall button. You can reuse a processed application/certificate by clicking its Reuse button. If you are a member of an AE Applicant organization, you can add treatment and ADs to an application by clicking its Process button. You can manage a processed application/certificate by clicking its Manage button.

 

The View, View/Edit, Delete, Comments, Recall, Process (for AE Applicants) and Manage buttons return the following screens:

 

5.Click the View button.
RESULT:  The Processed Application Details page appears.

a)All information about the application will be displayed.
b)Click the Back button to return to the Manage Applications page.

NOTE:  You may print the application from the Processed Application Details page by clicking the Print Application button in the upper right corner of the screen.

NOTE:  You may also view a certificate draft from the Processed Application Details page by clicking the View Certificate Draft button in the upper right corner of the screen.

 

6.Click the View/Edit button.
RESULT:  The Application for a Certificate/Application Step by Step/Select your Certificate Type page appears

NOTE:  Only available for Work in Progress and Returned applications.

 

7.Click the Delete button.
RESULT:  The Delete Confirmation page appears.

NOTE: Only available for Work in Progress and Returned applications.

 

8.Click the Comments button.

RESULT:  The View Authorized Certification Official Comments page appears.

NOTE: Only available for Returned and Cancelled applications.

 

9.Click the Recall button.
RESULT:  The Recall Confirmation page appears, upon confirmation of this message, the application is recalled, and you are returned to the Manage Applications screen.

NOTE:  Once an application is opened for processing (even if no action has been taken, for example adding an inspection), it can no longer be recalled.  If you do not have a Recall button, contact your local inspector.

Once the application is recalled, the status will be changed from “Submitted” to “Work in Progress”.

 

10.Click the Reuse button.

RESULT:  The Application Details page appears.

NOTE:  You cannot save the reuse application as a work in progress.  The entire process must be completed, and the new application submitted, or the reuse request will be deleted.

 

11.Click the Process button:

RESULT:  The Application Step by Step page appears beginning with the Application Details page.

NOTE:  Only available for Submitted applications of an AE Applicant organization.

 

12.Click the Manage button.
RESULT:  The Manage Certificate page appears with a drop down of processing options based on the application/certificate’s status.
