Request for Replacement Wizard

PCIT offers the Request for Replacement Wizard, which allows ACO users to process certificates that have been requested by an applicant for replacement.  The certificates need to be processed to be put into the final Printed status.

 

Complete the following steps to  process the certificates.

 

1.A message about pending replacements will display in the Messages field on the Welcome page.  Click the message link.
RESULT:  The Request for Replacement page appears.

 

2.When you have completed selecting the certificates to process in batch, click the Next button.
NOTE: You can select up to a maximum of 30 certificates to process at a time.  Certificates listed in red italics and contain a print checkbox are certificates that appear not to have been printed but can be printed and approved using this process.  Clicking on a checkbox will select a certificate to be processed in batch.  Leaving a row of check boxes blank will skip that certificate.  You may review certificates by clicking on the Certificate Number.  When you have completed selecting the certificates to process in batch.
RESULT:  The Request for Replacement - Assign ACO and Print page appears.

 

3.Select the Authorized Officer from the drop-down list and click the Apply to All button.  

NOTE:  Authorized Officers can be selected individually within the table. An Authorized Officer must be selected for each certificate before proceeding. A message can be sent to the applicant organization to print the original certificate when the ACO's signature image is applied to the certificate and the applicant is not a shell account. For State certificates, an applicant must have Original Certificate Print Authorization to print an original certificate.

If the ACO selected is the user logged in and the user has a signature image, the Apply My Signature Image and Send Message to Applicant to Print check boxes will be visible in the List of Split Certificates.

   Note: If you apply a signature image to a certificate, PCIT will send a message to the applicant organization notifying them to print the originals, unless you uncheck that selection.

 

4. If you wish not to Apply your signature and Send Message to Applicant to Print, click Next.

   Result: Replacement Processing Wizard - Print Page appears.

a)To print the original certificate, click the Generate Original Certificates button.
   RESULT:  The current certificate is printed.
b)Click the Generate Original Certificate button.
   RESULT:  The original Certificate PDF is displayed.  After printing the certificates successfully, close the PDF Window to return to the Replacement Processing Wizard (Printing Page).
c)Click the Printed button.
   RESULT:  The Print confirmation message appears.

 

5. To Apply My signature image, click it's check box or click Select All.

   To Send Message to Applicant to Print, click it's check box.

   Note: The Apply My Signature Image checkbox must be selected before selecting Send Message to Applicant to Print.

 

6. Click the Next button.

 

7. If you specified Reject for some of the replacement requests, the Rejection page of the wizard will appear.
   On the Request for Replacement - Rejection page, you can enter individual reasons for the rejections or one reason for all.
   When you are finished adding the reasons, click the Next button.
   RESULT:  The Request for Replacement - Submit page appears.
   NOTE:  If rejected, the status of the new certificate is changed to Canceled.

 

8. The Request for Replacement - Submit page provides a summary review of the certificates you are processing for replacement.

 

9. To change the certificate fee before submitting, click the corresponding Change Fee button.
   RESULT:  a)  If you are processing requests for a Federal duty station, then the Change Certificate Fee page appears and displays the 'Charge USDA Admin Fee' check boxes.
  OR
  b)  If you are processing requests for a State/County duty station participating in fee collection, then the Change State/County Fees page appears and displays the 'Charge USDA Admin Fee' check boxes.

 

10. Select the USDA Administrative Fee for each Federal certificate.  You can also use the Select All link.
  NOTE: For Duty Stations participating in fee collection within PCIT, the Change State/County Fees information also appears.

 

11. Once you have reviewed the list, click the Submit button to complete the replacement.
  NOTE:  Once you click the Submit button, the process will be complete and the fees will be deducted from the applicant's pre-purchase accounts.
