Replace a Certificate (ACO)

An Authorized Certification Officer (ACO) can initiate a Replace then save it as a replace in progress (using the Replace-Pending status) and return to the Replace-Pending application at another time.

To replace a certificate, complete the following steps.

1.From the Manage Applications page, click the Manage button next to a Printed or Issued certificate.
RESULT:  The Manage Certificate page appears.
2.Select Replace from the Process drop-down list, and click the Select button.
RESULT:  The Application Details page appears and the following message displays:
"Notice: Duty Station information has been removed. Please select a new Duty Station for this certificate."
3.On the Application Details page, click the Edit button under the applicant name.
RESULT:  The General Page appears.
4.Select the duty station from the drop-down list and click the Save button.
NOTE:  The message has been removed.
5.If no treatments have been added to the application, you can click the Edit button to add a treatment if needed for the application.
6.Enter text in the Reason for Replacement field.
7.Select the Issue/Print Certificate link from the left menu.
RESULT:  The Certificate Adjustment & Payment page appears and the following message displays "Change Original Certificate Status To:  Replaced".
8.You can make any necessary adjustments to the certificate.
9.To issue the certificate, click the Issue Certificate & Charge Fee button.

OR

10.If you wish to process this replacement request at a later time, click the Save as Replacement in Progress button.
RESULT:  The Manage Application page appears and the following message displays:  "Your replacement request has been saved as in progress with the status of Replace-Pending.  You can review and edit this request through Manage Applications."

NOTE: You must process this request within 7 days, otherwise the request will be deleted.

11.Return to the Manage Applications page, enter search criteria to manage a list of processed applications.  From the resulting list, you may choose to view it by clicking the View button, or you may manage the processed applications/certificates by clicking the Manage button.

NOTE:  You can complete the Replace process by clicking the Manage button.  The Replacement in Progress will have a “Replace-Pending” status.

 

To replace a certificate that has been requested by an applicant for replacement, complete the following steps:

1.The Welcome page Message box contains shortcuts to complete certificate replacements assigned to you.  This is a useful timesaving tool.
RESULT:  The Replacement Processing Wizard (Step 1 of 4) page appears and displays the certificates that have been requested by an applicant for replacement.  They need to be processed to be put into the final Printed status.

 

2.You can select up to a maximum of 50 certificates to process at a time.  Certificates listed in red italics and contain a print checkbox are certificates that appear not to have been printed but can be printed and approved using this process.

 

3.Clicking on a checkbox will select a certificate to be processed in batch.  Leaving a row of check boxes blank will skip that certificate.  You may review certificates by clicking on the Certificate Number.  When you have completed selecting the certificates to process in batch, click the Next button.
RESULT:  The Replacement Processing Wizard (Step 4 of 4) page appears and provides a summary review of the certificates you are processing for replacement.

 

4.Review the list and click the Submit button to complete the replacement. NOTE:  Once you click the Submit button, the process will be complete and the fees will be deducted from the applicants' pre-purchase accounts.
RESULT:  The Replacement Processing Wizard (Confirmation) page appears and displays the total number of processed replacement requests, and an overview of what was processed and total fees (if any).

 

5.You can also access the Applicant Organization Financial Transactions from the Manage Applications page, enter search criteria to manage a list of processed applications.  From the resulting list, you may choose to view it by clicking the View button, or you may manage the processed applications/certificates by clicking the Manage button.
